Accounting Software

How Tailride's accounting integrations work — connection, chart of accounts, auto-coding, and automatic export.

Overview

Tailride exports processed invoices directly into your accounting software: it creates the bill or voucher, codes line items against your chart of accounts, matches or creates the supplier, and attaches the original PDF.

Supported Platforms

Sage Accounting is also available from Integrations and supports cost tracking (analysis types) alongside chart sync and export.

Getting Set Up

After connecting a platform, Tailride opens a setup dialog (you can reopen it any time via the Settings button on the integration card). It walks you through:

Sync your chart of accounts. Tailride imports your accounts so invoice line items can be coded against them. You can re-sync any time — the summary shows how many accounts were created, updated, or deactivated.

Import coding history (optional). Tailride learns from bills already coded in your accounting system, so new invoices are coded the same way from day one. This runs in the background.

Convert unsupported currencies (optional). When an invoice arrives in a currency your accounting software doesn't have enabled, Tailride converts it to your base currency at the invoice-date rate. When off, the invoice is held in Tailride with instructions instead.

Enable automatic export (optional). Pick the provider-specific defaults (account, journal, tax rule — depends on the platform) and Tailride exports invoices automatically once coding completes.

Only one connected platform can own the chart of accounts at a time. If you switch platforms, Tailride migrates learned coding rules to the new chart where accounts can be matched; the rest are re-learned as you code.

Automatic Coding

Tailride assigns an expense account to every invoice line item automatically, using (in order):

  1. Learned rules — how you've coded similar lines from the same supplier before
  2. AI coding — an AI model picks the best-matching account from your synced chart, taking the vendor's industry into account

Low-confidence codings flag the invoice for review instead of guessing. Confirmed codings become reusable rules, so accuracy improves over time.

Cost Tracking

On platforms that support it — Xero, QuickBooks Online, and Sage Accounting — Tailride can also assign cost dimensions (tracking categories, classes/locations, or analysis types) after accounts are coded. Sync categories and build automatic assignment rules in Cost tracking. Manual picks on an invoice are never overwritten by rules. Categories marked Require before export block automatic export until every line has a value.

Automatic Export

With auto-export enabled, an invoice is exported as soon as automatic coding finishes — but only if every line item has an account code, and any required cost-tracking categories are filled. Invoices with uncoded lines or missing required tracking stay in Tailride for review. The default account you pick in settings only covers uncoded or adjustment lines; coded lines always use their own accounts.

Invoices are skipped from auto-export when they've already been exported, when the connection needs to be re-authorized, or when required export settings are missing.

Manual Export

You can always export manually from the invoice list: select one or more invoices and choose Send to [platform] from the actions menu. The export dialog lets you override the account, tax rate, and other options for that batch. Already-exported invoices are skipped automatically.

What Gets Exported

For every invoice, Tailride creates the platform's native purchase document (bill, voucher, or purchase invoice) with:

  • Invoice number, dates, and currency
  • Supplier — matched to an existing contact by VAT number, email, or name, or created if none exists
  • Line items with descriptions, amounts, account codes, tax rates, and cost-tracking values when supported
  • The original PDF attached to the document

Credit notes are exported as the platform's credit document (vendor credit, credit note, or negative voucher).

Failures and Retries

If an export fails, the invoice shows an export failed — retry indicator in the invoice list; clicking retry re-runs the export with your saved settings. If exports keep failing, Tailride emails you a heads-up with likely causes.

If the connection itself expires (for example, a revoked token), the integration card shows a Reconnect prompt and you receive a one-time email. Automatic export pauses until you reconnect — invoices keep being collected and processed as usual.
