DATEV

Export validated DATEV Unternehmen online packages with booking records, G/L accounts and creditor numbers.

Overview

Tailride produces DATEV packages for DATEV Unternehmen online: one booking record per invoice in the DATEV XML format (Belegverwaltung online, ledger 6.0) together with the original documents, packed as a ZIP that your tax advisor or you import with DATEV Belegtransfer. Each record carries the invoice date, due date, gross amount, currency, VAT rate, invoice number, supplier name, city and VAT ID, and optionally the G/L account per line and the supplier's creditor account.

There is no live connection to DATEV. The DATEV card on the Integrations tab holds the settings every export uses, so you set them once instead of per export, and it switches on the DATEV-only controls elsewhere in the dashboard.

Prerequisites

  • DATEV Unternehmen online with Belegtransfer, or a tax advisor who imports packages for you.
  • To transfer accounts: a chart of accounts in Tailride that uses the account numbers of your DATEV client, ideally the DATEV Kontenplan itself.

Setup

Open the DATEV card

Go to Integrations, find DATEV among the accounting integrations and click Set up.

Describe your DATEV client

  • Account number length (Sachkontenlänge): the number of digits of G/L accounts in your DATEV client. DATEV's default is 4. Creditor accounts have one digit more.

The chart itself is not a DATEV setting: the export transfers the account numbers of your Tailride chart of accounts exactly as they are, whether it comes from a template, a DATEV Kontenplan upload or your own CSV.

Choose what each export carries

  • Creditor numbers on suppliers adds a DATEV creditor number field to every supplier in Suppliers and sends it with the booking record (see Creditor accounts).
  • Transfer coding sends the G/L account coded on each line as the DATEV Sachkonto and splits the booking by account where lines differ.
  • Include PDFs and Include receipts and order summaries as document-only records set the defaults of the export window.

Save

Click Save. The card shows Configured, and the settings are applied the next time you open the DATEV export.

An account that downloads a DATEV package before setting the card up gets it created automatically, seeded with the options of that export. Previewing an export does not create it.

Exporting

Select invoices (or filter the list) and choose DATEV in the download menu or bulk action bar. Tailride validates every document first and groups them as structured, document-only or blocked; see DATEV review for the review window and its overrides. With the DATEV card configured, the export window shows the account length and coding setting it applies and links back to Integrations to change them.

Packages of up to 100 invoices download directly; larger exports run in the background and you receive the download link by email.

Credit notes

Credit notes are exported as booking records with negative amounts (consolidated amount and every entry), which DATEV treats as a Rechnungskorrektur on the supplier. Coded accounts and the creditor number travel on the negative entries like on any invoice. A credit note can still be marked document-only in the review.

Account matching

G/L accounts

With Transfer coding on, the account coded on each line item becomes the accountNo of the booking record. Accounts are validated against the configured Sachkontenlänge: an account with another number of digits is reported in the review and the booking is exported without it, because DATEV would otherwise post to the wrong account. For an exact match, upload the Kontenplan exported from DATEV as described in Upload a DATEV Kontenplan.

Creditor accounts

With Creditor numbers on suppliers on, each supplier can carry its DATEV creditor number (Personenkonto). Every booking record of that supplier's invoices then references it, so DATEV posts to the existing creditor account instead of matching a business partner by name. Suppliers without a number export as before. Invalid numbers (wrong length or non-numeric) are reported in the review and left out.

Austria (SKR07)

Austrian clients work the same way: use the SKR07 template or upload your DATEV Kontenplan with SKR07 selected, keep the account length of your client, and the Austrian VAT rates (20 %, 13 %, 10 %) and SKR07 account numbers are transferred unchanged. An SKR07 template is available under Start from a template.

What is not transferred

  • Tax keys (BU-Schlüssel) and cost centres. Records carry the VAT percentage; DATEV derives the tax key. Cost centres are not yet included.
  • Reverse-charge and non-VAT documents export as document-only records.
  • Buchungsstapel (EXTF CSV) for Kanzlei-Rechnungswesen is not produced; use the Unternehmen online import.

Removing the DATEV card deletes only the settings. Exports keep working with the per-export options in the download window, and the creditor numbers stored on suppliers are kept.
