Automatically create and populate expenses and bills in QuickBooks Online with Tailride.
Overview
Tailride creates bills and expenses in QuickBooks Online automatically — with coded line items, classes and locations, tax codes, vendor matching, and the original document attached.

Prerequisites
- An active QuickBooks Online account
- Authorization for Tailride to access your QuickBooks organization
Setting Up the Integration
In Tailride, open the Integrations tab and click Connect on the QuickBooks card — this triggers the QuickBooks (Intuit) authentication flow
Select your organization and agree to the required permissions
After connecting, the setup dialog opens: sync your chart of accounts, optionally import coding history, and configure automatic export. See Accounting Software for the full setup flow.
Export Settings
QuickBooks has no draft state — documents are created directly in your books.
To enable automatic export you configure:
- Document type — create invoices as Bills or Expenses
- Default account — the expense account used for uncoded or adjustment lines (coded lines keep their own accounts)
- Payment account — the bank or credit card account (for expenses)
Classes and Locations
When class or department tracking is enabled in your QuickBooks company preferences, sync them under Cost tracking and assign values with rules or by hand.
- Class — sent on each expense line when your company tracks classes per line. If QuickBooks is set to track class only per transaction, Class is whole-document: conflicting line values are dropped rather than guessing one class for the bill.
- Department / Location — QuickBooks may call this Department, Location, or another term from company settings. It is always whole-document (header-level) and cannot split a bill across locations.
If those preferences are off, sync finds no class or location dimensions until you enable them in QuickBooks and sync again.
Unknown or deleted class/location ids are omitted so the bill can still export. If QuickBooks cannot load the live class or department list at export time, the bill exports without tracking rather than failing.
How Export Works
Tailride checks if the vendor exists in QuickBooks — matched by name or email. New vendors are created with address and VAT details where available.
A bill or expense is created with line items, each carrying its account, tax code, and class when assigned. Department/Location is applied on the document when every line agrees. Amounts in currencies not enabled in QuickBooks are converted to your home currency (optional, at the invoice-date rate).
The original PDF is attached to the created document.
A quick-access link appears in Tailride to open the entry in QuickBooks. Credit notes are created as Vendor Credits.
Exports run automatically when auto-export is enabled, or manually via Add to QuickBooks in the invoice actions menu — the manual dialog lets you override the document type, account, payment method, and tax code per batch.

Limitations
- Documents are created directly — QuickBooks has no draft state for bills and expenses
- We can't modify or delete existing QuickBooks data
- Already-exported invoices are skipped (a single invoice can be re-uploaded explicitly)
