Invoice links

Find emails that only link to an invoice, download the invoice from the supplier's site, and add it to Tailride.

Some suppliers don't attach the invoice to their email. They send a notice such as "Your invoice is ready" with a Download invoice or View invoice button that opens their customer account, where you have to sign in. Tailride can't sign in on your behalf, so it can't download these invoices.

Instead of skipping these emails, Tailride lists them in the invoice list on the Dashboard tab. While such emails wait, an Invoice links button with their number appears next to Needs attention (on phones, a link icon next to the search field). It replaces the invoice table with these emails; Invoices or Excluded brings the table back.

Which emails appear here

An email appears under Invoice links when an inbox scan finds no invoice to collect in it, but it contains a button or link whose text clearly points to the invoice, for example:

  • "Download invoice", "View your invoice", "Invoice PDF", "Link to your invoice";
  • the same in German, French, Spanish, Italian, Dutch, and Portuguese, such as "Rechnung herunterladen", "Voir ma facture", or "Descargar factura";
  • a link to several invoices ("View all invoices") or a plain Download or PDF button, when the email subject is about an invoice.

Only short button-like texts count: the action word and the word "invoice" (or "receipt", "bill", and so on) must stand next to each other. Newsletter and digest emails whose article titles merely contain these words, such as "Your SaaS bill could get more expensive", are not listed, and neither are buttons that download something else ("Download the report").

A notice that only says your invoice is ready, without any amount in the email, also goes here when it links to the invoice. A notice that does mention an amount, in any currency, is still processed from the email body, as before.

Emails you send to your forwarding address are listed too, when they are such a notice. As with inbox scans, a link to several invoices or a plain Download button counts only when the email subject is about an invoice, a bill, a statement, or a payment. These rows show forwarded to Tailride instead of a mailbox.

These emails never appear here:

  • emails whose invoice Tailride collects itself: PDF or image attachments, invoices written out in the email body, and the hosted invoice links Tailride can download (Stripe, Revolut, Paddle, and WeWork; see What an inbox scan can find);
  • links that only lead to a billing page, payment settings, an app store, or an unsubscribe page;
  • emails from senders you blocked with a sender skip rule.

Listing an email here doesn't use invoice credits. The invoice you upload from here is processed like any other upload.

Adding the invoice

Select Invoice links in the invoice list. Each row shows the sender, the email subject, the date, and the mailbox it arrived in.
Select Open link. The supplier's page opens in a new browser tab; sign in there if asked and download the invoice.
Back in Tailride, select Upload invoice on the same row and choose the downloaded file (PDF, XML, or P7M, up to 10 MB).

Tailride adds the file to your invoice list, processes it, and removes the row from Invoice links. If Tailride already has a file with the same name, the row is closed as well and no duplicate is created.

If the link no longer works, open the original email in your mailbox and follow the supplier's instructions there.

Hiding an email

Select Hide when you don't need the invoice in Tailride, for example when the email isn't about your expenses. The row disappears and the email isn't listed again, even when you scan the same period once more.

Older emails

Invoice links lists emails found by scans that ran after this feature was introduced. To list older emails, run a past scan for that period. Invoices you already collected are not duplicated by the rescan, and an email that an earlier scan already saved as an invoice from its body stays in your invoice list instead of appearing here.

Team access

Everyone with access to the dashboard sees Invoice links. A colleague with View own invoices only turned on sees only the emails collected through their own account, the same as in the invoice list (see Users).
