Zapier

Start Zaps automatically when invoices are processed or updated in Tailride.

Overview

The Tailride app for Zapier starts your Zaps the moment something happens to an invoice — push new invoices into your ERP, notify a channel when a payment status changes, archive files, or connect any of the thousands of apps on Zapier.

The app provides:

  • New Invoice (instant trigger) — runs when a document has been fully processed and recognized as an invoice.
  • Updated Invoice (instant trigger) — runs when an already-processed invoice changes: fields edited in the dashboard, payment status updated, or supporting documents attached or removed. The data includes a list of what changed.
  • Find Invoice (search) — finds the newest invoice matching an invoice number, vendor, sender, email subject, notes, line items, or amount. This is the same search as the search box in your invoice list.

Each returns the full invoice: vendor, recipient, amounts, line items, tags, payment status, and a download link for the invoice file. The data is the same as in the webhook payload.

Availability

The Zapier integration is available on paid plans and is set up by the root user of the account.

Prerequisites

  • A paid Tailride plan
  • A Zapier account

Setup Instructions

Create an API key in Tailride

Go to Settings → Webhooks and scroll to API keys. Enter a name (for example, "Zapier") and click Create API key.

Copy the key right away — for security reasons it is shown only once. See API keys for details.

Connect Tailride in Zapier

Create a Zap, choose Tailride as the trigger app and pick New Invoice or Updated Invoice. When asked to sign in, paste the API key. The connection is labeled with your Tailride account email.

Test and publish the Zap

Test trigger shows your most recent invoices as sample data. Add the next steps and publish the Zap — Zapier registers the trigger with Tailride automatically, no URL to copy.

Managing the Connection

  • Published Zaps appear in Settings → Webhooks with a Zapier badge. You can pause them there like any other webhook.
  • When you turn a Zap off or delete it, Tailride removes its webhook automatically.
  • Webhooks created by Zapier do not count toward the limit of 10 webhooks you can add manually, and they cannot be edited in Tailride.
  • Revoking an API key disconnects Zapier immediately and removes the webhooks created with that key.

Download links are temporary

File links expire after 24 hours in trigger data and after 1 hour in Find Invoice results. Use them in the same Zap run — for example, map Invoice File URL into a file field of the next step. After a link expires, the file is still available in your Tailride dashboard.
